Document Control Specialist

The Document Control Specialist is responsible for executing the change control processes to ensure standardization, accuracy and completeness of technical documents prior to release. This position is responsible for creating and maintaining revision and configuration control of documentation releases, bills of materials (BOMs), inventory parts, work instructions, routers, quality/inspection documents, non-conforming material (NCR) reports, product data management (PDM) and document change orders within the enterprise resource planning (ERP) system.  They are responsible for optimizing the ERP system in addition to interacting with cross-functional departments and providing configuration control guidance.

Essential Duties and Responsibilities:

  • Creates and maintains document control procedures within the ERP system
  • Executes change control processes ensuring accuracy and completeness of technical documents prior to release 
  • Guides cross-functional teams in good documentation control practices 
  • Supports maintenance of design history files, master records and technical files 
  • Supports operations in part number control and BOM maintenance in the ERP system as a result of approved change orders 
  • Provides training to new and current employees on how to process change orders 
  • Responsible for ensuring that manufactured products meet the requirements and are ready for product release 
  • May support and work with quality inspection and manufacturing personnel to facilitate efficient review and release of products 
  • Creates a NCR if deficiencies are found (QA approves NCR initiation) and provides input to NCR investigations as necessary 
  • Provides QA review of calibration and preventive maintenance records, scanning and archival 
  • Creates and maintains revisions of inventory parts, bills of material (BOM) and routers in the ERP system
  • Ensures inventory and BOM configurations in the ERP match the design released levels in the PDM system 
  • Communicates changes and requests for changes to the respective departments 
  • Maintains technical documents (work instructions, process specifications, etc.)
  • Other duties may be assigned 

Skills, Experience, Education, and Abilities:

  • Associates degree in technical field preferred or formal technical training in engineering field with a minimum of 5 years relevant experience in the production environment
  • Experience with ERP system functions related to product configuration management 
  • Proficiency in Microsoft Office Suite and SolidWorks is required 
  • Proficiency in Globalshop ERP is preferred 
  • Experience working in cross functional areas (e.g. Operations, Manufacturing, Quality, Engineering) and in a PDM environment 
  • Knowledge of standard manufacturing processes: machining, milling, grinding, casting, welding, assembly as well as quality assurance

Supervisory Responsibilities:

No direct supervisory responsibilities. Position will be responsible for leading and coordinating activities of others to meet company objectives. 

Physical Demands/Work Environment:

  • Personal protective equipment is required in some assembly areas.
